Email Assistance: How Do I Share My Calendar In Outlook 2010?

In Outlook you have the option to share your calendar with anyone in the University. You can set permissions so that those people only have access to do certain things. This article will walk you through the steps of sharing your calendar.

Step 1
First open Outlook. This can be done a couple of ways but the fastest way would be to double click on the Outlook icon that is on your desktop.
If you do not have an icon on your desktop please click the Start button and then go to All Programs. Locate the Microsoft Office folder and click it. Outlook should be listed there.
Step 2
Please choose your Google Apps profile from the list of profiles in the Choose Profile window. Once it has been selected click OK.
Step 3
When Outlook opens up your mail folder list will be on the left (by default). The Navigation buttons will be to the bottom left of the screen. Please click on the Calendar button.

This will take you to the Calendar section in Outlook.

To share your calendar you will have to Email it. Emailing your calendar will give you the option to choose what the person/people see on the calendar.

To Email your calendar to someone right click on the calendar that you would like to share. Hover over Share and select Email Calendar.

The Send A Calendar Via E-Mail window will open. This window allows you to choose which Calendar you would like to share, the Date Range that you would like to share, the Detail of the calendar as well as some Advanced options.
Step 8
The Calendar section allows you to choose the calendar that you would like to share.

The Date Range section allows you to choose how much of the calendar you would like the person to see.

In the Detail section you can choose what type of meetings and/or appointments the person will see

To access the Advanced section click the Show button. In this section you have the option to included details of private items, include attachments within the calendar, and change the email layout.
Step 12
Once you have filled out all of the information in this window click Ok to be taken to the new email window.
Step 13
Enter the person email address in the To field and then add any information into the body of the email. The calendar will be attached to the email as an attachment.
Step 14
Click the Send button to send the email.
