
Q: Where do I find makeup requests and how do I approve/reject requests?
A: You can find your makeup requests in MyUMUC. To approve/reject a request you should login to MyUMUC then click on To Faculty Portal → Faculty Self-Service → MyAcademics → Course Management → Makeup Exam Requests. You can then select the student’s request you would like to approve/reject.
Q: What documentation do I need to request from students?
A: It is at your discretion to request documentation from your students. UMUC does not require documentation to process a makeup exam, only that the faculty member approve/reject the request. Students are asked to enter a reason for their makeup request in their initial request. If the student does not provide a reason or you need more information, please contact the student.
Q: How do I know when I have a makeup request waiting?
A: You will receive an automatic email from Exams and Testing informing you there is a makeup request pending your approval/rejection.
A: If you think you have a makeup request waiting, please login to MyUMUC, navigate to the makeup request page, and approve/reject the request. Also contact Faculty Services at facultyservices@umuc.edu for assistance so you will receive your makeup request emails in the future.
Q: What are considered approved reasons for requesting makeup exams?
A: Whether to grant a makeup request is solely at the discretion of the faculty member, regardless of the reason for the request. If you are unsure whether you should grant a makeup request, please contact your academic director for guidance.
A: The university does not consider failure to register for an exam an approved reason to request a makeup exam, but faculty members may use their discretion in granting these requests.
Q: Why has my student requested a makeup exam when the exam has not been given yet?
A: There are two reasons your student may have submitted a makeup request before the exam has been given. If your student failed to register for their exam during the exam registration period yet still wishes to take the exam, he or she must request a makeup exam. The university does not consider failure to register for an exam an approved reason to request a makeup exam. However, instructors may use their discretion in granting these requests. Whether to grant a makeup request is solely at the discretion of the instructor, regardless of the reason for the request. Note, makeup exams are processed and shipped to the proctors after the semester’s scheduled exam week.
A second reason your student may have requested a makeup exam is if he or she is already aware of circumstances that will not allow him or her to test during the standard exam period. Reasons may include deployment, business travel, medical issues, or some other reason.
Students are asked to provide justification when requesting a makeup exam. If it is unclear why the student is requesting the makeup exam, please contact the student for clarification.
Q: Once I approve a makeup request when is the exam sent to the student’s proctor?
A: We process and ship or email the exam to the student’s proctor as soon as possible once approved by the instructor (usually within 3-5 business days). During the busy exam periods, processing may be delayed by a week or more. Makeup exams requested for the current semester will be processed 1-2 weeks after the last day of the regular exam session.
A: The most common reason Exams and Testing denies a request is because the student’s proctor was unacceptable to the university. In these cases, we first try to contact the student and ask them to find an acceptable proctor. If they do not respond or are unable to find an acceptable proctor, we then reject the makeup exam request. Examples of unacceptable proctors are family members, coworkers, and friends of the student.
A request may also be disapproved at the student’s request. Students may request the exam be disapproved for reasons such as they have dropped the course or requested a makeup exam for the wrong class.
A: We suggest you create a new exam when a student requests a makeup exam. Using a new exam is the best way to protect the integrity of UMUC’s examination process. Of course, you are free to attach a previously submitted exam and it will be processed and shipped to the student’s proctor.
Q: Where will makeup exams be mailed once completed by the student?
A: Makeup exams will be mailed via U.S. Postal Service directly to the faculty member at the address listed for the semester the makeup exam is for. For example, if the student requests a makeup exam for the Fall 2006 semester, the address you provided us that semester will be the one to which the exam is mailed. If you are unsure whether that address is correct, please email the correct address, along with the student’s name, to makeupexams@umuc.edu. We will be sure to send the completed exam to the address you request.
Q: My student completed a makeup exam but I have not received it. What should I do?
A: Please instruct the student to contact his or her proctor to ensure the exam was mailed immediately after completion. If the exam was mailed and a period of 6-8 weeks has passed, the exam is considered lost. The student should contact Exams and Testing. We will contact the proctor and ensure the student did take the exam and the exam was mailed properly. If the proctor kept a copy of the exam, we will ask the copy be forwarded to you. If the exam is not found, you may give the student two options: the student may take the exam again or he or she may ask you to calculate the grade based on previous coursework.
